Jobing Description
POSITION SUMMARY:
The scheduler is responsible for the oversight and maintenance of physicians’ schedules at the main office of a behavioral health network. The scheduler works as part of a front office team to support the activities of the Operations and Medical Departments. The Scheduler will also be cross-trained to assist, support, and substitute for the Receptionist as needed. Will serve as the primary liaison between the front office and medical department.


SPECIFIC RESPONSIBILITIES:
•Schedule appointments for the psychiatrists in person and via telephone.
•Manage individual doctor’s schedules per their instructions and mission requirements.
•Conduct reminder calls to patients with appointments the following day, as needed.
•Conduct outreach to clients who miss their appointments via telephone or correspondence and record these efforts in the client’s medical record.
•Open front office and ensure that waiting area is clean and ready to receive clients.
•Receives a high volume of inbound calls and transfers to correct department as necessary.
•Check AHCCCS eligibility on medication monitoring clients weekly for following week’s appointments.
•Provide lunch coverage, as needed, for the receptionist.
•Cross train to learn the receptionist’s duties (greet clients and visitors upon arrival; answer phone and direct calls to the appropriate staff; become familiar with agency services and be able to provide general information; provide general support to administrative team as needed).
•Maintains and exhibits a high level of professionalism and enthusiastic customer service acumen in all encounters with clients and staff.
•Participates as needed in other department projects.
•Prepares routine correspondence including letters, memoranda, and assists Medical Director in the planning and preparation of meetings.
•Maintains daily calendar and contact list for the Medical Director; coordinates appointments, meetings, accommodations and activities.
•Screens, routes, and documents incoming correspondence and faxes for the medical department.
•Researches and compiles information necessary for meetings, reports, proposals and special projects for the medical team.
•Performs word processing, composes, prepares, copies, and distributes reports, letters, proposals, memos, forms, and other correspondence for the medical team. Prepares mailings.
•Other duties as assigned by supervisor.


Skills / Requirements
QUALIFICATIONS:
Education* & Experience:
•High school diploma or equivalent.
•Two years of previous experience in medical reception or scheduling required.

General:
•Ability to interact effectively in a team setting with behavioral health professionals, and with other service providers.
•Ability to communicate effectively orally and in writing.
•At least two years of multi-line telephone switchboard experience preferred.
•Well-developed interpersonal and communication skills.
•Professional appearance and manner.
•The ability to sit for long periods of time.
•Computer literacy, specifically MS Word and Excel.
•Bilingual (English/Spanish) preferred.
•Must be at least 21 years of age and able to obtain a Class I Fingerprint Card.
